Think of Spaces as smart folders inside your YouScan account. They keep everything tidy and make it easier to manage your monitoring.
You can group topics by teams, projects, or clients — whatever works best for you. And instead of setting permissions for each topic one by one, you can do it once at the Space level.
☝️ Please note that Spaces are available as part of the Advanced Teamwork add-on, which is offered for an additional fee.
How to use Spaces?
For users managing a significant number of topics, Spaces addresses several key challenges:
Find things faster: browse by team, client, or project.
Stay organized: keep your account clean and structured.
Save time: set permissions once per Space instead of repeating for every topic.
Prepare for deeper insights — Spaces make it possible to compare activity across teams, brands, or regions in the future.
How to create Spaces
To create Spaces:
Go to your account settings and select the Spaces section;
Click “Create Space”;
Give it a name. If necessary, add a description by clicking “+ Add description”. You can also choose an emoji instead of a folder icon to help you distinguish a folder from others. To do so, simply click on the folder icon;
In the "Members" section click "+Add member", and click on the name of the desired member;
Add users and select the appropriate level of access to the Space for them;
Once member and access rights have been selected, click “Create.”

💡 You are not restricted in the number of Spaces you can create within your YouScan account.
☝️ When the Advanced Teamwork add-on is activated, a Default Space (Space 1) is automatically created for the account. All topics and dashboards that were previously created are placed into this Space.
From there, you can create additional Spaces and transfer topics and dashboards from the Default Space into any new Spaces as needed, giving them full control over organization and access.
Working with Spaces
Changing access
To make changes, simply open the Space you need and you will be able to:

Transfer a topic from one Space to another in the Topics section
☝️ Each individual topic can belong to only one Space at any given time. If you need to move a topic to a different Space, you must first remove it from its current Space before adding it to the new one.
☝️ You can’t transfer a topic if it’s already used in one or more dashboards. To move it, first remove the topic from those dashboards or move the whole dashboard together with it.

☝️ When you move a dashboard, we recommend moving all topics linked to it too, so that nothing breaks.
How to delete Spaces
To delete a Space:
1. Go to Account Settings;
2. Hover your mouse over the space you want to delete;
3. Click on the Bin.
Permissions within Spaces
Admin have the authority to create a Space and set these Space-level permissions when creating or editing Spaces in the Account Settings and when adding new users via the Users tab.
Spaces introduce a streamlined way to manage user access to groups of topics. The permission levels for Spaces directly mirror the existing permission levels for individual topics:
View — see all topics in the Space.
Markup — interact with topics (add tags, comments).
Manage — full control: edit topics, add new ones.
👩💻 Admins can create or delete Spaces and manage Space permissions in Account Settings or in the Users tab.
And yes, you can still give someone access to just one topic, even if it’s inside a Space.
You can change access for users to do this:
Open the Space you need;
Stay in the Member section;
Click on the permission next to the username and select the required new one in the window that opens.
Filtering Topics by Space
In the topic list, all users can filter the view to show topics within specific Spaces, all topics across all Spaces, or only "Unassigned topics."
